1. Services

The Structured Stone Learning Studio provides 60-minute, one-on-one tutoring sessions in literacy and/or mathematics as outlined in the selected package. Instruction is personalized based on student needs and professional assessment. Tutoring services are designed to support academic growth but do not guarantee specific academic outcomes or grades.

2. Payment Terms

• Payment is required in full prior to the start of a package.

• Monthly enrollment secures a reserved weekly time slot and must be paid at the beginning of each month.

• Payments are non-refundable once sessions have begun.

• Missed or forfeited sessions are not credited or refunded.

• Continued non-payment may result in suspension or termination of services.

Accepted payment methods: Cash, E-Transfers, Credit Card.

3. Cancellation & Rescheduling Policy

• A minimum of 24 hours’ notice is required to reschedule a session.

• Sessions cancelled with less than 24 hours’ notice are forfeited.

• Missed sessions without notice (no-shows) will not be rescheduled.

• Sessions cancelled by the educator will be rescheduled at no additional cost.

• Rescheduled sessions must be used within the same calendar month unless otherwise agreed upon.

Exceptions may be considered in cases of emergency at the educator’s discretion.

4. Attendance & Commitment

Student progress depends on consistent attendance, engagement, and reinforcement of skills at home.

Parents/guardians agree to:

• Ensure timely arrival and pick-up.

• Support recommended home practice.

• Communicate any learning challenges or updates that may impact instruction.

Frequent cancellations or inconsistent attendance may result in loss of the reserved time slot.

5. Illness Policy

Students who are unwell (fever, vomiting, contagious illness, etc.) should not attend in-person sessions. Please provide notice as soon as possible if illness occurs. The educator reserves the right to reschedule sessions if a student arrives visibly unwell.

6. Communication

Parents agree to communicate relevant academic, emotional, medical, or behavioural updates that may affect learning. Progress updates will be shared periodically. Ongoing communication is encouraged to ensure alignment between tutoring and home support.

7. Assumption of Risk & Supervision

Parents/guardians grant permission for their child to participate in tutoring sessions with The Structured Stone Learning Studio at the agreed-upon location, including public or shared facilities (e.g., libraries or community spaces), where applicable. While reasonable care and supervision will be provided at all times, parents acknowledge that circumstances beyond the educator’s control may occur, including but not limited to:

• Facility-related issues

• Power outages

• Emergencies

• Public disturbances

• Actions of third parties

 

 

By enrolling in services, parents acknowledge that participation is voluntary and assume all inherent risks associated with sessions held in public or shared environments. The Structured Stone Learning Studio shall not be held liable for incidents, injuries, losses, or damages arising from events beyond reasonable supervision or reasonable control.

Parents are responsible for:

• Timely drop-off and pick-up

• Providing accurate emergency contact information

• Ensuring their child understands expected public behaviour

 

8. Late Pick-Up Policy (If Applicable)​

Students must be picked up promptly at the end of their scheduled session.

• A 5-minute grace period is permitted.

• After 5 minutes, a late fee of $5 per 10-minute increment may be applied.

• Repeated late pickups may result in termination of services.

 

 

9. Video Recording & Privacy

For safety, security, and professional protection purposes, tutoring sessions may be video recorded.

• Recordings are used solely for supervision and security.

• Recordings will not be shared publicly, posted online, or distributed to third parties.

• Files are stored securely and deleted after a reasonable retention period.

By enrolling in services, parents provide consent for video recording for security purposes.

 

 

10. Confidentiality

All student information, assessments, and session notes are kept confidential and used solely for instructional purposes. Information will not be shared with third parties without written parental consent, except where required by law.

 

 

11. Termination of Services

The Structured Stone Learning Studio reserves the right to terminate services if:

• Policies are repeatedly violated

• Payments are not made

• Behaviour poses a safety concern

• Communication becomes inappropriate or disrespectful

Parents may withdraw their child from services with two weeks’ written notice. Payments already made are non-refundable once sessions have begun.
